What are Sets, Smart Sets & Folders?
Set
Records can be saved in multiple Sets at the same time. This makes them more flexible than a classic folder.
A Set is a collection of Records or Entries.
Smart Set
“intelligent Sets”
Smart Sets work similarly to Sets. The main difference is that they can sort projects with given variables.
This means: I give the Smart Set a property like Type = Project. Every time I make a new Record with the property Type = Project, it will automatically be sorted into the Smart Set. If it was “only” a Set, I would need to manually add the new Record.
Folder

These are only available in the side panels. These can be hidden to allow an easier overview.
Set
You can recognize a set by its rounded, black border. The number on the right of the set indicates how many records it contains. You can use sets both on the left in your Internal - Organize panel and on the right in your Spaces. To publish records, they must first be placed in a set.
Create Set
There are two ways to create a new Set.
+Set Button.
A new field will then appear below your other sets. Enter the name of the set and click Save to create your set.Manage Set
The three dots on the right side of the set lead to the set editing menu. Afterwards, the two lower symbols will appear.

You can easily arrange your sets in the Internal -Organize window by dragging and dropping them up and down to find the arrangement that suits you best.
Move Records in a Set
You can move records within sets using drag and drop. You can either move individual records or select multiple records and move them as a group.
Remove Records from a Set
To remove a record from a set, hover your mouse over the record and click the red "Remove" button. This will remove your record from the set.
The record itself remains when removed and is not deleted; it is simply no longer included in the set.
Smart Set
Smart Sets can only be created in the left-hand Organize panel. In the right-hand Present panel, you can only work with regular sets.
You can recognize a Smart Set by its green frame. Smart Sets also have a green background when clicked.
Create Smart Set
First, you need to define the properties that your Smart Set should collect. Use the search bar for this.
When you click in the search bar, a selection of fields will automatically appear, which you can use to filter the results.
Filtering means displaying only specific entries, namely those that meet certain conditions.
If you now select a field (in this example, Material), you can choose whether to search for a specific property or all records without that specific property.
kleio then shows you which properties are assigned to this field. In this account, I have projects using ceramics, felt, and papier-mâché, so Kleio gives me the recommendations.
I choose ceramics.
Now kleio shows me all works with material = ceramic and gives me the option to create a Smart Set on the right side of the search bar.

A new Smart Set with a green border will then automatically appear in your left-hand Internal - Organize panel. You can name it.
Then click Save.
Your new Smart Set is now created!
Manage Smart Set
Renaming and deleting Smart Sets works the same way as with regular sets.
You can also change the order of the sets using drag and drop.
The difference is that you cannot create your own order within the set. You can change the sorting criteria, but you cannot create your own order. You also cannot manually add works to a Smart Set, as the properties of this group are predefined.
Folder
Folders can be used to store Sets, in order to optimize your organization. Records cannot be directly added to a folder, only Sets.
The small arrow to the right of the folder name lets you open and close the folder. When you close it, you only see the name. The number to the right shows you how many sets are in this folder (2 in this example).
In your left panel, Organize, you can place Smart Sets and Sets in a folder to refine your internal filing structure.
In your right-hand panel, Present, you can place your sets in folders to organize the navigation in your Spaces.
Create Folder
To create a Folder click on the +Folder Button.
A new folder will appear under your current content. Give the folder a name and save.
Manage Folder
The three dots on the right open the settings for your folder.
Rename Folder
Click on the pencil to change the name of your folder and save.
Delete Folder
Warning: when you delete a Folder, you also delete the Sets within it. The records remain.
Click on the garbage can and confirm your choice.
Move a Set into a Folder
You can move sets within folders using drag and drop, or you can create a new set directly within a folder. To do this, click the +Set icon at the bottom of your folder.
Display Options in a Set
While you can only adjust the name of the sets in the left panel, Organize, your sets in the right panel, Present, have further customization options.
Display Status
Here you determine whether the set is displayed on your space or not. The set will only be displayed if it is set to visible here and the space itself is also set to visible.
You can also recognize hidden sets by the fact that their outline is displayed in grey.
Detail view
Here you can determine how the records should be displayed in the detail view.

Facts
If you have selected Facts, your records will appear with the information below the images:
Gallery
If you have selected Gallery, your records will appear with a small info button in the top right corner, which visitors can use to expand and collapse the information:
Blog
If you have selected "Blog," the images in the records will appear larger, and if there are multiple images in a record, they will appear one below the other. There is an info button in the upper right corner that visitors can use to expand and collapse the information.
Screen
If you select "Screen," the images will appear full-screen with a small info button in the top right corner, allowing visitors to expand and collapse the information. Note that the images will be cropped.
Overview
Display
Here you can determine how your records are displayed in this set.
Sorting
Here you can specify whether the records in this set should be randomly arranged or sorted according to your defined order.
Description
Here you can enter a descriptive text for your set.
The text will then appear in your space above your records.
Here too, you have the option to enter the description text in multiple languages. Use the language selector in the top right corner of the field for this.
