Records
Every entry you make on kleio is a record. Every work, every actor, every exhibition, every news article, every press release, every performance, etc. - all of these are records on kleio.
Records can then be sorted into so-called sets and later published in a space.

Your profile record
When you create your kleio account, the first record is already created. This is your profile record, where you can enter all the information about yourself and define the name of your kleio account.
There is only ever one profile record - the one with the green frame.
Create a record from a template
- In the workspace (middle section of kleio), click on the plus icon in the top left corner.
- Select a template to use for creating the new records. The record will open and you can enter content and media.
Note: If you see templates that you no longer want to use, you can delete them—see above—Edit templates.
When you create a record from a template for the first time, a Smart Set is automatically created in your left-hand internal panel.
Create record(s) directly via images/file upload (Bulk Upload)
- In the workspace (middle section of kleio), click on the plus icon in the top left corner.
- The creation window opens. Click on Upload images/files to add files.
- one record with all files or
- one record per file should be created.
If you select multiple files, you can specify whether
- Select a template to use for creating the new records.
A: If you have selected All files for one record, the record will open and you can continue editing it.
B. If you have selected one record per file, these will be created and displayed together in a set in the left panel. This allows you to easily find these records and continue editing them.
If you have not yet created the appropriate template, you must do so first. You can do this by clicking on + Create new template.
Multilingual input of records
In kleio, content in the records can be entered in German, English and French.
This gives visitors to your kleio website the option of using language controls to change the language. We are currently working on making it possible to record other languages as well.
To enter the content of your records in multiple languages, you must first select and prioritize the desired languages in your kleio account.
If you now want to enter the content in a different language, you can set the desired language in the language slider.
All content that kleio has not automatically translated is displayed inorange. This provides a good overview of what has already been translated and what still needs to be edited. It also provides you with assistance for the translation.
Now you can fill in the fields as usual. As soon as a field has new content, the orange text disappears and the text appears in black.
Fields that are not translated are still displayed in the default language (in this example, this is German because it was set as the first priority). So if content does not need to be translated because it is the same in all languages, you can simply leave the fields in orange.
Translation of tags
Duplicate records
If you enter several records that are very similar, you can save time with the Duplicate record function. When you duplicate a record, all the contents are copied. You can then simply adjust the fields that need to be individualized and all others are already filled in.
The advantage over a template is that when duplicating, not only the field selection and sequence are copied, but also the field contents. However, the files and media are not copied.
To duplicate a record, click on the three dots at the bottom right of the detail view.
Then click on Duplicate record and confirm your selection.
A new record will now open in the detail view. You can recognize that it is a new record by the changed ID number. It is best to change the title and label immediately to avoid any confusion.
Records view
You can change the display of the records by clicking on these symbols.
By default, the records are always displayed as tiles. In the tile view, the size of the displayed tiles can be adjusted using a slider.
If you want to use the list view, click on the list icon in your overview:
Your records now appear in a list view. A fixed selection of fields is displayed:
- Type
- ID
- label
- date
- Author
- Content tags
Series view and single view
If you use the field Is part of series in your records, you can also choose between single view and series view when displaying your records.
By default, the view in the middle area of kleio is set to Series view at the top right. Series are displayed in this setting.
If you click on Single view, you can change the view.
If the view is set to single view, the individual records are displayed separately and it is not immediately apparent that they belong to the same series.
Selecting records
You can select individual records to perform various actions. You select a record by clicking on the small circle at the top right.
To select several records that come one after the other, you can select the first one, then hold down the Shift key on your keyboard and select the last record you want to select.
When you are satisfied with your selection, you can perform various actions at the bottom, where the number of selected records is displayed.
We call this button the action menu. Click on Edit or Export.
Delete records
You can delete records in two ways.
1 - With the action menu
If you click Delete all selected in the action menu, you can irrevocably delete the selected records.
A second field then appears in which the deletion must be confirmed by typing DELETE.
2 - In the detailed view
If you click on the three dots at the bottom right of the detailed view of the record you want to delete, the Delete record field appears.
