Export Records

You can use the Action menu to export your selected records in various formats.
Export PDF
With kleio you can easily export a PDF from your records.
- Select the records you want to export or create a set and put the records in the desired order (the order is adopted in the PDF). Click on
Export
. - Click on
PDF
This field will now appear and you can further customize your PDF:
1: PDF Format
Select one of the PDF formats.
List
The records appear as a list one below the other. Many projects on one page (e.g. for overviews, delivery bills, directories).

Facts
The records appear as a factsheet. All information at a glance (e.g. for certificates, instructions, data sheets).

Presentation:
The records appear in the presentation layout with the images in large format (e.g. for portfolios, dossiers, entries).
Note: Images are cropped to the edges.
Recommended approach for portrait images: In the PDF format, select "Presentation" and choose the Gallery
field from the options. This will export the preview image twice – once with edge cropping and once as full-page. You can then remove the page you prefer less in the final PDF.

2: Portrait or landscape format
Select whether the PDF should be created in portrait or landscape format.
3: Edit field selection
In the field selection, select the fields that should be displayed on your PDF.
You can select or deselect all the fields in the top right-hand corner with one click:
If a field is highlighted in black, it is selected:
During export, the preview image is automatically included – regardless of whether the Gallery
folder is selected or not.
If the Gallery option is additionally selected, the preview image will appear as the cover image and all images from the associated asset folder will also be included. As a result, the preview image may appear twice – once as the cover image and once within the images from the Gallery folder.
At least one field must be selected, otherwise the export will not work!
4: Field label
Decide whether you want to display the field label or not.
5: Language
Select the language in which your content is exported here. This is only possible if you have entered your content in multiple languages.

6: Resolution
Select the resolution in which the PDF is to be generated.
- Low resolution: Suitable for viewing on screen
- High resolution: Suitable for printed matter
7: Title of the PDF
Here you can specify the title of the PDF. This appears as the file name and also in the PDF at the top of the pages.
Generate the PDF
Once you have made all the settings, you can click on Generate
and your PDF will be created.
While kleio is preparing your PDF, you can close the box at the top right. As soon as the export is ready, a pop-up window will appear to let you know.
Click on Download
to save the PDF locally on your computer.
Export data (CSV)
With kleio you can easily export data as CSV. CSV (Comma-Separated Values) is a file format that stores data in tabular form, where each line is a data record and the values are separated by commas.
- when you are satisfied with your record selection and order, click on
Export
in the action menu. - now click on
Data (CSV)
. - Now this field appears and you can further customize your CSV:

you can give your CSV file a name. - then you can click on
Generate
to generate your CSV file.
While kleio is preparing your CSV, you can close the field at the top right. As soon as the export is ready, a box will appear at the top right to let you know.

to save the CSV locally on your computer.
Export files & media (ZIP)
With kleio you can export files & media as a ZIP. Downloading files & media as a ZIP file means that all your files (images, PDFs, etc.) are downloaded in their original quality. The remaining information will not be downloaded.
Please note that it is not always possible to download large amounts of data in full. A stable Internet connection, sufficient storage space, etc. are factors that have an influence on this. In such cases, you can contact our support team, who can handle the download upon request using a form. This service must be booked in advance and paid for upfront. Your data will then be delivered to you either via data transfer or on a hard drive. To ensure a clean export, we recommend carrying out the ZIP export in several portions. Depending on the amount of data, the export process can otherwise take a very long time and export errors could occur if the connection is unstable.
- If you are happy with your selection and want to export the records in this order as a ZIP file, open the action menu and click on
Files and media (ZIP)
. - This field now appears and you can specify the name of the file in the
Export title
field.
- then click on
Generate
While kleio is preparing your ZIP, you can close the box at the top right. As soon as the export is ready, a box will appear in the top right corner to let you know.
- click on Download to save the ZIP file on your computer.
Your ZIP file with the file name Current_Date_Title.zip will appear in your download folder (or in the location you have specified for the download).
Click on the file so that it can unzip itself.
The folder contains a clean folder structure with all your exported attachments in their original quality.
The file export.csv contains all the metadata of your media & files in a CSV.
Export History
You can also view your export history in the action menu.
All downloads that have already been made are listed here and you can re-download downloads that have already been generated. It is advisable to give the exports names that help you to recognize them (unlike in the example screenshot).
Backup of your kleio Files

You can export your data in smaller portions to ensure a smooth and stable download. Two export formats are available:
- CSV files: Ideal for structured data backup and further processing.
- ZIP files: Include structured data along with all original files (e.g., images) in full resolution.

2. Request a Full Backup via Support
Alternatively, you can request a complete backup from the Kleio support team. Depending on the size of your database, this service may incur a fee.
