Importing files and media
To upload something, you can either drag and drop the files into the field with the green plus or select them from your local filing structure on your computer by clicking on the green plus. You can select and upload one file at a time or several at once.
If you click on the plus, this field will appear and you can search for the files you want to upload on your computer.
kleio always recommends saving the best resolution of the files in kleio.
Your selected image will then be uploaded. Depending on the size of the file and the speed of your internet, the upload will take longer or shorter. As long as the record with the newly uploaded image has not yet been saved, the word "Preview" will appear above the image. This disappears as soon as you save your record.

Recommended Image Formats
In kleio, you can upload all common image file formats. However, not all of them can be displayed directly on the website. Files such as Photoshop documents (PSD) or RAW images need to be converted into a compatible format before they can be shown online.
The following formats are supported on the website:
- JPG / JPEG
- PNG
- BMP
- TIFF
Add PDF
PDFs can also be uploaded via the field with the green plus. Please note that PDFs with umlauts in the title cannot be uploaded.
Link video or audio files
You can upload and save video and audio files directly to kleio, but they cannot be played. You can upload such files in the same way as images.
To ensure that you and your website visitors can watch your videos and listen to your audio files, you first need to upload them to a platform such as YouTube, Vimeo, or SoundCloud.
Once uploaded, you can link these files to kleio, allowing them to be played seamlessly within your account and on your website.
kleio Tip: You can adjust the settings for your videos on YouTube and Vimeo so that your videos are "unlisted". This means that the videos will not be displayed there but you can still link them to kleio. (You can find out more about this for Vimeo here. You can find out more about this for YouTube here.)
To link a video or audio file in your kleio, click on the field below the green plus.
A new field will appear. Here you can enter the link to your file.
As soon as you have entered the link, the file will be displayed. Click on Link
at the bottom right to save the file.
With linked files it often happens that kleio cannot generate an automatic preview image. A YouTube video is then shown to you like this, for example. You can then upload your own preview image if required.
Automatic preview image and customize preview image
kleio automatically creates a preview image of your file in jpg format. If this is not possible, you can upload a preview image for your file yourself. The original image is stored securely and unchanged.
Add alternative file name, copyright and caption
If you click on the image or file, the detailed view opens. Here you can give the file an alternative name, note the copyright and add a caption. If the file is made available for download, this alternative file name will be displayed.

Replace image or file
You can also replace images and files at a later date. For example, you can download a document, edit it and upload the latest version again. To do this, click on the circle with the replace symbol at the bottom right.
Download original file
You can also download your original images individually at any time. To do this, click on the circle with the download symbol at the bottom right.
Select preview picture
If you upload just one image, kleio will automatically make it the preview/cover image. This will be displayed first on your website and in the overview of all records. You can recognize the cover image by the selected star ⭐ symbol at the top left of the image. If you upload several images, you can select a cover image yourself by clicking on the star.
Move images and files to another folder
You can also drag and drop your files from one folder to another after uploading, e.g. from Gallery to Attachment.
Delete images and files
If you want to delete a file, you can move your mouse over the image. A red box with a small dustbin will appear. Click on it to delete the image.
Best quality on kleio
You can also use kleio as a backup of your data. We recommend that you always import the best image.
There is a maximum volume of 2 GB per file or a maximum of 178,000,000 pixels or 16,000 x 16,000 pixels.
All your uploaded images and files can be downloaded again at any time. kleio automatically calculates the required formats, profiles and image sizes for exports and online publishing and creates a jpg copy. The original images remain securely stored.
