Best Practices
Show record with text focus
It is possible to display records in your Space that consist only or mainly of text (e.g. a press release, a poem, a song lyric,...).
Use the Original text field or the Description field for this.
To publish these as attractively as possible on your Space, we recommend the following settings:
Set your Set settings to Without side panel
Make sure that the field in which you have entered the original text is set to visible in the Space settings.
You can also influence the appearance of your text contribution by adjusting the order of the fields in your record. ➡️ You can find out how to adjust the fields and their order here: Edit Fields
You can decide whether you find the display with or without field titles more appealing. ➡️ You can find out how to display field labels in Space here: Display options in Space.
➡️ You can find out how to set an active link (in the example the "Link to article") here: Set active links.
Show News
To create a navigation item News on your Space, you can create a set in the Space with this name. It will appear on your website as a navigation point.
You can either fill it with records that you want to refer to.
Or you can create a record with the title News and use a text edit field there to list your news.
➡️ You can find out how to create a record with text focus here: Record with text focus
Home page with full screen image
If you would like to open your website on a large full screen image, you can easily set this up.
Select a set that only contains one record or create a new set for your start page, e.g. “Home”. Drag it to the top so that it is the first set.
Now drag a record into this set that you would like to display on your start page. Now select the “Screen” setting in the set settings of your start set. If you do not want the navigation menu to be expanded, select “menu starts closed” for the navigation menu in your Space settings.
Set active links
You can set active links in the text edit fields. This means you can link external pages and your Space visitors can reach them with one click.
To do this, first enter your text in a text edit field.
Then mark the part of the text that should be clickable as a link. In this example here. And then click on the link symbol at the top of the formatting bar.
The following will then be displayed:
Now copy the link that should open when you click here into the field marked green.
In the right-hand field you can see how your text will look on the website. On the left you can see which link has been added. Save your entry now and test whether the link works on your website. You can create as many links as you like.
Open Link in new Tab
If you want your link to open in a new tab, you can copy and paste it:
kleio
→ In this example, the word kleio is linked and leads to the kleio.com page in a new tab.
→ Now delete kleio.com and copy your link into it
→ Delete kleio and write in there which term should be linked
Show PDF on Website
Technically, it is only possible to display a PDF on the Space if it has been released for download. We recommend loading PDFs that you want to display into the attachment folder and releasing it for download.
Move the PDF you want to display on your website into the attachment folder using drag and drop or the green plus button.
In your Space settings, set the Attachments folder in the Display fields to Visible and Downloadable.
The PDF now appears in the information about the record with a direct download link:
PDF for browsing
When you upload a publication, catalog or magazine to kleio as a PDF, only the cover page is displayed as a preview image and the PDF can be downloaded and viewed.
If you want your website visitors to be able to browse through your PDF, we recommend the following procedure:
- Save the individual pages (or double pages, depending on how you prefer it) as image files (for example as jpg or png).
- Then upload the individual pages of the PDF as image files to kleio and put them in the correct order using drag & drop. We recommend the "Gallery" storage location for this.
- Make sure that the Gallery field in your website settings is set to visible.
- Now visitors can browse through your pages. You can also release the PDF for download, so that it can also be downloaded.
Sharing files via a kleio Space with password protection
There are various situations in which it makes sense to share data via kleio. For example, you might want to provide your publisher with high-resolution images for a book project. Or an exhibition venue needs high-resolution images of your works to promote the exhibition.
The easiest way to do this is to create a new Space: ➡️ You can find out how to add an additional Space here: Add Website
Make sure that the Space is password-protected so that only people you select can download your files. ➡️ You can find out how to password-protect your Space here: Password Protection
If your high-resolution data has not yet been uploaded to the respective records, you can do this now. Move the records to the space you want to share. Then set the folders in which you have stored the images in your Space settings to visible and downloadable.
For example, if you have uploaded the files to the attachment folder, make it visible and downloadable.
Now people with the password can download the files they need directly from your kleio.
Newsletter
If you work with a newsletter tool such as Mailchimp and want people to be able to subscribe to the newsletter via your kleio website, we recommend the following:
- Create a new set in your kleio space with the name "Newsletter”
- Create a new record.
- Enter a title that suits you
- Now set an active link to your newsletter tool in the Description field. You should find this in your newsletter tool.
- Change the type of record to "Newsletter"
- Add the record to your "Newsletter" set on your website using drag & drop.
- You have the following options for changing the appearance of this record:
➡️ You can find out how to set an active link here: Set Active Link
With or without field labeling
You can decide whether you find the display with or without field titles more appealing. ➡️ You can find out how to display field labels in Space here: Display options in Space.
In this example, the field descriptions (here "Description") are visible:
In this example, the field descriptions (here "Description") are not visible:
- Which fields are visible?
Make sure that the Title and Description fields are visible.
It is recommended to hide the ID field.
Note that this information applies to your entire website.
➡️ Here you will find instructions on how to show and hide fields: Show fields
Set your Set settings to Without side panel
- Open your website and check that it looks the way you want it to:
Search engine optimization
Search engines like Google scan billions of websites every day. It normally takes 1 to 3 months for a website to be crawled / indexed by Google and appear in the search engines. We currently have no influence on this.
kleio makes every effort to ensure that kleio pages are found quickly via search engines. You can speed this up by
- linking your kleio page to your other pages (e.g. on your social media channels).
- your homepage opens to a record with text information. For example, an about page with a text about you in the “Description” field where your name appears.
- Here you can find tips on how to optimize your site for search engines, for example by adding text, images and links.
Also bear in mind that if you change your URL, search engines will take a while to display your page again.
If you are using your own domain, you can submit an indexing request to Google here.
If your site is still not displayed in search engines after 3 months, please contact kleio Support.
