Fields
Every entry you make on kleio is a record. Every work, every actor, every exhibition, every news article, every press release, every performance - all of these are records on kleio.
A record can be described using various fields. This allows kleio to systematically record content. In a further step it is possible to filter or sort by field content and field content can be selectively shown or hidden for export and display in the Space.
Fields and their applications
There are different types of fields.
- Simple Text Fields: These can be entered freely.
- Tag Fields: The appropriate tags (keywords) can be entered in these fields. By using tags, kleio learns the language of the users and offers you previously used keywords directly the next time you type.
- Functional Fields: These fields have special properties.
- Formatable Text Fields: Text can be formatted in this field.
- Images/Files: These fields form the folders to which you can upload your files and images. You can find information about these fields here: Files and media

Use tag fields correctly
Tag fields are fields that you can filter for in your search bar. The following fields are tag fields (all fields are explained individually above):
- Active in
- Descriptive tags
- Function
- Origin
- Content tags
- Category
- Material
- language
- Location
- status
- Style
- Activity
- Technique
- Type
Here are some instructions on how to use them correctly.
This is a tag field. You can either write your own terms directly in the field.
Or you can click on the arrow to the right of the field and select from the existing kleio tags. Navigate to All tags
Create a new record:
You can create a new tag in two ways: Either you simply type it into the field and press the Enter key. Or you can click on the arrow on the right and type in your new tag under Search and create and then click on Create tag.
If you have already created a new tag, select it from the list of all tags in the next record and do not enter it again. Otherwise, an additional tag will be created each time and will appear several times if you filter for it.
All fields with a tag function are visible to the kleio team. We translate a selection of the tags into German, English and French and mark the frequently used terms as "kleio tags". This way, other kleio users can also benefit from your tags and use them for their records. By opening your kleio account and accepting our terms, you give us your consent to do so.
The same tag appears several times, what to do?
If you have accidentally entered a tag multiple times instead of selecting it from the list of tags used, it will now be displayed multiple times:
Unfortunately, the filter function does not work properly and the term is also displayed several times here.
To fix this, first use the search function to see which tag was used for most records and give it a new name, e.g. “Term_1”:
Then go through all records and select the tag with the new name “Term_1” and deselect the old tag. Once you have gone through all the records and adjusted them, you can delete the old tags:
At the end you can adjust the tag so that the “term” appears again.
Formatable Text Field
This field is a text edit field. This means a field in which text can be formatted. As soon as you click on this field, a field opens in which you can enter and format the text. On the left side you can enter and format the text, on the right side you can see a preview of how the text will be displayed (e.g. on your website).
On the left-hand side, kleio places automatic programming characters in the text. These are displayed on the right-hand side as formatting effects. For example, two asterisks before and after a word on the left mean that it will be displayed in bold on the right. However, you do not have to work with these programming characters, but can simply select the formatting in the menu at the top, as you would normally do in a text document (e.g. in Word).

- B = fett
- I = kursiv
- U = unterstrichen
- S = durchstreichen

- Liste oder Aufzählung
Bullet points:
Use this field to add a simple enumeration. If you have already entered text, make sure that you insert a line break before the enumeration.
Numbering:
Use this field to add a numbered enumeration. If you have already entered text, make sure that you insert a line break before the enumeration.
Bulleted list with an indent:
You can use colons :
to create a bulleted list with an indent. You must also insert a line break beforehand if you have already entered text before the enumeration.
Divider:
With three asterisks ***
you can insert a thin dividing line.
Title:
Using #
followed by a space before a text makes it larger and formats it as a title.
If something does not work: Make sure that you only select the text and that there are no spaces before or after the text.
Set active links
You can set active links in the text edit fields. This means you can link external pages and your Space visitors can reach them with one click.
To do this, first enter your text in a text edit field.
Then mark the part of the text that should be clickable as a link. In this example here. And then click on the link symbol at the top of the formatting bar.
The following will then be displayed:
Now copy the link that should open when you click here into the field marked green.
In the right-hand field you can see how your text will look on the website. On the left you can see which link has been added. Save your entry now and test whether the link works on your website. You can create as many links as you like.
Open Link in new Tab
If you want your link to open in a new tab, you can copy and paste it:
<a href="kleio.com" target="_blank">kleio</a>
→ In this example, the word kleio is linked and leads to the kleio.com page in a new tab.
→ Now delete kleio.com and copy your link into it
→ Delete kleio and write in there which term should be linked
